Digital systems for law firms
Legal intake rewards whoever answers first. Call handling, consultation booking, and intake that respect confidentiality and your conflict checks.
Start a conversationLegal enquiries go to whoever picks up
Somebody who has just been arrested, served, injured, or dismissed is not researching carefully. They are working down a list of firms and stopping at the first one that answers. Being second to respond is close to being no response at all, and in most practice areas the enquiry never comes back.
The structural problem is that fee earners are the people who cannot take those calls. They are in court, in a client meeting, or doing the billable work that pays for the office. The calls arrive during exactly those hours, and after them, because people notice their legal problem in the evening.
Intake is also more than answering. Before an enquiry is worth a fee earner time, somebody needs the practice area, the jurisdiction, the other side name for a conflict check, and enough of the facts to know whether the matter is one the firm takes at all. That work is repetitive and it is currently being done by whoever is free, if it is being done at all.
The cost of getting it wrong runs both ways. A missed call is a lost matter. A poorly screened one is a fee earner hour spent on something the firm was never going to accept.
How it works
- The agent answers and identifies the matter typePractice area, jurisdiction, and urgency, in the caller own words. That is enough to decide where the enquiry goes without anybody having to call back to find out.
- It collects what a conflict check needsNames of the parties involved, captured at first contact and passed to the firm before anyone commits time. Running the check early is the whole point of asking early.
- It books consultations into the right diaryAgainst live availability, in the correct fee earner calendar, with the matter type attached so the meeting does not start with the basics.
- It stays inside its limitsThe agent gathers facts. It does not answer legal questions, estimate outcomes, or comment on the merits of a matter, and it says so plainly to the caller. Those questions route to a person.
- Enquiries that are not accepted are closed properlyOut of area, out of practice and conflicted enquiries get a clear answer quickly. Better for the caller, and better for the firm reputation.

How we build
The boundary on legal information is written down during the build. The agent gathers facts and books time, and the transcripts let the firm verify it held.
Retention, access, and where intake data is written are set with you before launch, because in this sector those are not implementation details.
Common questions
No, and it is built to refuse. It collects facts and books appointments. The boundary is set explicitly during the build, written down, and testable, and the transcripts let you confirm it is holding.
The agent takes the same information a receptionist takes and writes it into your systems. You decide what is collected, where it is stored, how long it is kept and who can reach it, before launch.
It captures what a conflict check needs, which is the part that is currently delaying it. The check itself stays with the firm, because that is a professional judgement.
Urgency is one of the first things the agent establishes. Anything meeting your criteria escalates immediately under your out of hours rules.
Yes. Practice area determines the diary, so a family enquiry does not land in a commercial litigation slot. Where the firm prefers a person to allocate, the agent books a triage slot instead.
Where it can be connected, intake writes directly into it. Where it cannot, we deliver structured intake notes into an inbox or shared location in a consistent format, which is still faster than a voicemail.
